How Apollo assigns leads to admissions reps
Everything below is configured by the school in Prospects > Lead Assignment. No code changes.
Rules
- Selection method
- Load balanced fewest open leads first
- Round robin takes turns
- Weighted round robin senior reps get more
- Longest idle whoever waited longest
- Working hours assign only to reps on the clock
- After hours assign anyway, hold until opening, or send to a backup rep
- Capacity stop at each rep's maximum, or allow over capacity
- Open lead statuses which statuses count toward workload
- Notifications email or in-app to the rep; admin alert if a lead can't be assigned
Reps
- Who is a rep any employee marked Admissions Representative
- Campuses each rep covers the campuses they're assigned to
- Program categories which categories each rep may receive
- Availability available or away, with an "away until" date
- Schedule working days, hours and time zone
- Weight share of leads in weighted round robin
- Max open leads per-rep capacity
Programs, queue and log
- Categories group programs, for example Healthcare and Skilled Trades
- Programs each program belongs to one category
- Unassigned leads no rep could take, with the reason, assigned by hand in one click
- Log every assignment and reassignment: when, to whom, why
- Reassign move a lead to another rep, with the reason recorded

Method: load balanced, assign any time, internal notification to the rep. A new rep with no open leads receives the next lead for their campus and category.
